Join our dynamic team at OEDIV Oetker Daten- und Informationsverarbeitung KG, a leader in infrastructure solutions and managed services. We are seeking a proactive and organized individual to support our office operations and HR functions.

Key Responsibilities:

  • Coordinate travel arrangements, accommodations, and itineraries for team members.
  • Assist in planning internal events, workshops, and team activities.
  • Support new employee onboarding, including workplace setup and IT coordination.
  • Oversee office maintenance, including cleaning, repairs, and general upkeep.
  • Manage vendor relationships with service providers such as cleaning, security, and IT.
  • Ensure compliance with workplace safety regulations and manage emergency plans.
  • Plan office layouts and manage space utilization and renovations.
  • Monitor office inventory, including furniture and supplies.
  • Manage building access and coordinate with building management.
  • Process employee documentation and manage files.
  • Support internal and external audits by preparing documentation and coordinating with auditors.
  • Provide annual invoices and consumption data for ESG score calculations.
  • Manage recruitment processes and coordinate with staffing agencies.
  • Handle applicant management and personnel processes, including onboarding and offboarding.
  • Provide expert HR advice and support to managers and employees.
  • Collaborate on HR projects and with external HR service providers.
  • Work closely with the People & Culture team.

Skills & Qualities:

  • Fluency in English and German is mandatory.
  • Excellent organization and multitasking abilities.
  • Strong communication and interpersonal skills.
  • Proficiency in Microsoft Office and Excel.
  • Attention to detail, reliability, and discretion.
  • Service-oriented and proactive attitude.
