We are looking for a highly organised, articulate individual with outstanding customer service skills and a keen eye for attention to detail. The successful candidate must be fluent – verbally and written – in English and be willing to work UK hours (9:00 - 17:30 GMT, Monday-Friday).

Our Assistant to Office Manager can ensure the smooth running of the office by improving company procedures and performing other day-to-day duties, including:

  • Maintaining a tidy, clean and efficient office and ensuring office equipment is well stocked at all times, organising office layout if needed
  • Scheduling appointments and meetings
  • Ordering supplies including office equipment and stationery
  • Partnering with HR to maintain and update office policies as needed
  • Overseeing office procedures and operations if and when needed
  • Coordinating with IT department regarding all office equipment
  • Managing price and contract negotiating with office lease, office vendors and service providers
  • Ensuring timely and accurate reporting and managing office budget
  • Providing support to visitors
  • Helping in the onboarding process of the recruits
  • Helping address employees' queries about office management issues (Travel arrangements, stationery, hardware, etc.)
  • Liaising with facility vendors, including catering, cleaning and security services
  • Planning off from work activities such as parties, conferences, sports and celebrations
  • Handling inbound calls in an appropriate and professional manner
  • Paying suppliers bills and running ad hoc errands

Requirements:

  • High standard of oral and written communication
  • Proficiency in English, both written and verbal
  • High school diploma or associate’s degree
  • Experience as an office assistant or in a related field
  • Ability to write clearly and help with word processing when necessary
  • Warm personality with strong communication skills
  • Ability to work well under limited supervision
  • Great communication skills
  • Have a valid driver's licence (optional)

Administrative

You should complete some administrative tasks, including approval of formal requisitions, maintain paperwork, keep personnel records, and conduct business operations.

Attention to detail

As an assistant office manager, employees rely on you. You will be responsible for timely ordering office supplies for keeping records in an organised manner and accurately.

Communication

As an assistant office manager, you often are receiving visitors. If you're the only one seeing visitors, act as an effective receptionist while performing other duties. Possessing excellent communication skills can help you handle visitors effectively and work successfully in this position.

Computer

As an assistant office manager, you require a wide range of computer skills. Your employer's specifics may determine if you fit in the position, but typically possessing spreadsheet, database and IT abilities can make you successful in this position.

Finance

Your responsibilities may involve bookkeeping, budgeting, budgeting, invoicing and accounting.
