Join our dynamic team at OEDIV Oetker Daten- und Informationsverarbeitung KG, a trusted provider of infrastructure solutions and managed services. We are seeking a proactive and organized individual to ensure the smooth functioning of our office and support our HR operations.

Key Responsibilities:

  • Coordinate travel arrangements, accommodations, and itineraries for team members.
  • Assist in planning and organizing internal events, workshops, and team activities.
  • Support new employee onboarding, including workplace setup and IT coordination.
  • Oversee office maintenance, including cleaning, repairs, and general upkeep.
  • Manage vendor relationships for services such as cleaning, security, and catering.
  • Ensure compliance with health and safety regulations and manage emergency plans.
  • Plan office layouts and manage space, seating arrangements, and renovations.
  • Monitor office inventory, including furniture, supplies, and equipment.
  • Manage building access and security, coordinating with building management.
  • Process documentation and manage employee files.
  • Support internal and external audits by preparing necessary documentation.
  • Provide annual invoices and consumption data for ESG score calculations.
  • Manage recruitment processes and coordinate with external staffing agencies.
  • Oversee applicant management and personnel processes.
  • Offer expert HR advice and support to managers and employees.
  • Collaborate on HR projects and with external HR service providers.
  • Work closely with the People & Culture team.

Skills & Qualities:

  • Fluency in English and German is mandatory.
  • Excellent organizational and multitasking abilities.
  • Strong communication and interpersonal skills.
  • Proficiency in Microsoft Office, especially Excel.
  • Attention to detail, reliability, and discretion.
  • Service-oriented and proactive attitude.
