We are seeking a highly organized and proactive Office Manager to support the firm’s day-to-day operations and ensure the smooth and efficient running of our Bucharest office. This role is essential to our continued growth and success, and we are looking for someone who thrives in a dynamic, fast-paced professional services environment.
Responsibilities:
• Oversee and coordinate all administrative and operational functions of the office.
• Manage supplier relationships, office supplies, budgets, and service providers.
• Support HR processes such as recruitment coordination, onboarding, and employee record management.
• Assist with scheduling meetings, organizing internal and external events, and managing travel arrangements.
• Support lawyers and partners with administrative and organizational matters.
• Managing incoming communication (calls, emails, correspondence)
• Maintaining documentation, filing systems and internal records
• Monitoring and optimizing administrative costs (not only supplies and budgets)
• Calendar management on an ongoing basis for lawyers and management (beyond meetings/events/travel already listed)
Requirements:
• 2+ years of relevant experience in office management or administrative roles, preferably within a professional services environment.
• Strong organizational and time-management skills, with the ability to manage multiple priorities simultaneously.
• Excellent communication and interpersonal skills.
• English language level B2–C1 required
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
• Fluent in Romanian and English, both written and spoken.
• Discretion, professionalism, and a positive, solution-oriented attitude.
Nice to have:
• Previous experience in a law firm or consultancy environment.
• Familiarity with basic financial processes (invoicing, budget tracking, petty cash).
• Experience coordinating with external service providers and vendors.
