The receptionist/front desk officer is responsible for providing secretarial, clerical and administrative support in order to ensure that services are provided in an effective and efficient manner.
Main tasks:- Promote the company by the activity he/she performs as a front desk officer; - Ensure interface with people from outside the company; - Register the received correspondence in the sole correspondence registry, then sort and distribute it; - Receive, direct and relay telephone messages and fax messages, take adequate messages when required; - Handle caller‘s inquiries whenever possible;- Assist in the planning and preparation of meetings, conferences and conference telephone calls;- Draft daily correspondence, prepare and produce various materials for conferences, meetings and other events (local and abroad);- Word-processing, insert comments, format documents and use the in-house style in all produced documents;- Develop and maintain an efficient and accurate archiving and filing system for all relevant documents and correspondence; - Translation from English to Romanian and from Romanian to English;- Fill in forms and file documents with the local authorities; - Oversee record of time and billings of the lawyers she/he is charge with;- Ensure information flow between the firm and external clients as well as between their lawyers and the other firm’s departments;- Consolidate, collate, safeguard and circulate (internally and externally) information;- Maintain confidentiality of company information he/she has access to; - Offer assistance to other colleagues (lawyers or business support staff) when workload is high; - Perform other related duties as required.


- Business sound written and spoken English;- A further foreign language;- Good all-round education; - Good verbal and listening communications skills;- Experience and empathy in dealing with international clients;- Professional personal presentation- Customer service orientation; - Ability to work independently;- High level of organisation;- Attention to detail; - Reliability;- Initiative;- Highly computer literate (MS- Office, Word, Excel, Power Point, Email, Internet); - Ability to work in a team;- Ability to lead colleagues and offer them specialised guidance; - Total discretion
