For completing our Office team in Bucharest headquarters, we are looking for:

Office and Admin coordinator/senior/Assistant Manager


Main Responsibilities:

Office administration
- Manages and organises the admin of the office (relationship with the current maintenance providers
- Manages and organises meetings and events for the HQ
- Front office - phone, post deliveries, visitors coordination


Travel management and administration
- Otimal and swift communication between company’s travellers and the relevant suppliers
- Procurement, planning and budgeting for management travel (reservations, tickets etc).
- Cost control and efficiency analysis and improvement proposals and initiatives


• Internal controls
- Maintaining and updating the administrative processes, policies and procedure documents in line with the Group, Regional and Management requirements (indirect procurement, IT, communications, auto, insurance, travel policy, admin etc.)


• Contract management
- Coordinates the numbering system and registers of the company
- Coordinates the contract archiving process with the departments leaders, ensuring an efficient process and completeness of company’s records and evidences


• IT Admin
- Coordinates with the regional IT, local IT suppliers and company’s users, ensuring standard set up procedures on company’s phones, tablets, laptops and other equipment (under direct instructions from and coordination with company’s IT technicians)
- Manages company’s IT equipment evidences, maintenance records, replacements and related policy


• Store communication and admin service
- Contact person for support and consultancy for administrative queries received form the stores and warehouse
- Management of the template documents (tipizate), consumables and office materials required in stores and head office
- Coordination of waste management for stores


• Car fleet
- Manages car fleet (currently through external supplier), including procurement and maintenance of company’s and company related cars
- Maintains optimal communication between car users and the car fleet management company
cost control initiatives
- Process improvement initiatives

• Indirect procurement

Manages indirect procurement for administrative materials and services. Process includes:
- Processing, review and verification of purchasing requisitions from stores and head quarters,
- Receipts
- Identification, analysis and processing of offers for various indirect procurement materials as per requirements of the stores and/or centre requisitions;
- Formulating recommendations to management (based on an agreed list of relevant selection criteria)
- Assist with price/conditions negotiations
- Drawing up and/or reviewing related documentation (contracts, orders, receipts etc)
- Communication with suppliers & purchasing hotline
- Supplier relationships with the assigned suppliers
- Cost control on the assigned areas, including invoice verification, opportunity cost, budgetary and authority controls


Experience and qualifications:

• University degree
• Min 3 years experience
• Advanced PC knowledge (MS Office)
• English or German fluent; Englesh + German constitutes an advantage
• Responsible, proactive, organised
• Positve, good communication skills
• Multitasking
