Job Purpose: Jobholder is meant to support the company's management on administrative and commercial part
Main Activities:
• keeps the evidence of the received invoices (register, approve/cancel, send to payment)
• keeps the evidence of the issued invoices (she/he will make the invoices based on SDL, follow the due dates, send notification for payment if the invoice exceed the due date)
• Check if the invoices were correct paid
• Check the deduction of expenses
• Prepare and send all the documents to the accounting company
• organizes the annual inventory together with the inventory commission
Secretarial Services:
• raise and register the correspondence
• represent the company in relation with Public Finance Administration, Trade Register, Territorial Work Inspectorate etc.
• book hotel, flights
• updating presentations and presentation files
• update the web-site together with the System Administator
• answer the phone
Administrative Services:
• Takes care for the proper functioning of the administrative part of the company
• keeps the connection with landlord
• Check the counters utilities
• Keeps the connection with the cleaning company
• supplies and manages office materials
• Manages auto park (car insurance, TUV, summer / winter weels)
• Controls the fuel consumption
Human Resources:
• Completes and updates list of the employees
• manages staff folders and update them
• follows the periodic medical examination
• Makes the contracts for using the company’s car
Commercial coordination of projects:
• participate in preparing the offers
• actively participate in preparing offers at the commercial part
• send orders for materials to materials suppliers
• send quotations requests to suppliers

Tasks and duties:
Provides the proper function of the administrative office
He/she answers for:
• correctness in registration in accounting
• correctness of bank transfers
• correctness of the correspondence
• promptness and accuracy with which he/she carry out the tasks
• follows the internal rules

• Permanent improvement of his professional preparation
• Maintaining the confidentiality of information and documents that are related to the company
• Use of existing resources exclusively for the interest of the company
• Follows the work procedures relating to his post
• Shows the behavior that promotes the image and interests of the company

Level of education: University degree
Experience: Two years of experience in a similar position
The necessary knowledge:
• English
• MS Office
• knowledge of Romanian business
• General knowledge
