The work will be carried out in the company’s premises in Bucharest. Below is a list describing some of the activities of an eProseed Administrative Assistant.

  • Ensure company's premises are legally compliant and contribute to the overall purpose of the company
  • Liaise with all relevant third party suppliers (. utility providers, office equipment suppliers etc.) to ensure smooth service provision at lowest cost
  • Accountable for the design, safety and essential services of the office

Responsibilities and Duties::

  • Answer and direct phone calls
  • Provide general administrative and clerical support
  • Maintain electronic and hard copy filing system; expense reports, contracts, invoices, timesheets, employee files, aso
  • Open, sort and distribute incoming correspondence, courier management
  • Maintain HR updates in the local database

  • Perform data entry and scan documents
  • Assist in resolving any administrative problems
  • Prepare and modify documents including correspondence, reports, drafts
  • Schedule and coordinate meetings, appointments
  • Develop and maintain a filing system
  • Asset inventory control
  • Update and maintain office policies and procedures
  • Handle general health and safety office related procedures
  • Order office supplies and research new deals and suppliers
  • Maintain contract lists
  • Act as the point of contact for internal and external clients
  • Work with external suppliers to ensure they have a full understanding of the company’s requirements and can adapt their service provision to fit without constant micro management
  • Perform supplier evaluations, according to internal policies
  • Handle local and sometimes regional on boarding and off boarding of employees
  • Take on additional roles as the admin department grows and implements additional procedures
  • Handle payroll and employment data, perform local payments
  • Monitor the FS service costPrepare reports and explain any deviations.
  • Ensure FS orders and invoices are processed timely
  • Help establish annual budgets for FS activities
  • Conduct regular surveys of customer satisfaction to identify potential areas for improvement.
  • Liaise with Landlord on issues relating to eProseed occupancy of existing premises.
  • Implement policies, procedures, tools and techniques necessary to ensure that contractors perform to the required level of safety, quality and timeliness.
  • Select contractors and manage those contracts relating to service provision for required workplace and Security services.
  • Participate in the team efforts for the sharing, development and implementation of best practices.

·Proven experience as an administrative assistant (preferably 3 years Admin support experience)

·Engages positively with employees and non-employees alike

·Shows a high level of energy and dedication

·Knowledge of office management systems and procedures

·Working knowledge of office equipment

·Proficiency in MS Office (MS Excel and MS PowerPoint)

·Excellent time management skills and the ability to prioritize work

·Attention to detail and problem solving skills

·Good research skills

·Excellent English and Romanian written and verbal communication skills

·Strong organizational skills with the ability to multi-task

·University degree

·Advanced level English
