Job description: 

OESL is seeking a proactive and skilled Productivity & Collaboration Specialist, for a 2-year fixed-term contract, to support and advance our digital workplace ecosystem. In this role, you will be responsible for optimizing the use of collaboration tools, driving user adoption, and ensuring seamless, secure, and efficient digital communication and productivity across the organization. You will serve as a subject matter expert for key platforms such as Microsoft Teams, SharePoint, OneDrive, Outlook, and other workplace applications. 

You will collaborate closely with cross-functional IT teams, business leaders, end users, and external service providers to ensure that digital workplace tools are aligned with organizational needs. Your work will enable effective collaboration, improved productivity, and an enhanced employee experience through well-managed digital services and continuous platform improvements. 

Responsibilities: 

Platform Administration & Optimization 

• Configure, manage, and monitor collaboration platforms (e.g., Teams, SharePoint, OneDrive, OESL Insides) to ensure performance, stability, and security.  
• Implement governance policies, user permissions, and compliance controls across digital workplace tools. 

User Support & Training 

• Act as the primary contact for user inquiries, feature requests, and technical issues to enhance the digital workplace experience.  
• Develop and deliver training sessions, guides, and bestpractice materials to drive adoption of M365 and related tools. 

Integration & System Improvements 

• Collaborate with cross-functional teams to integrate M365 and non-M365 applications with enterprise systems.  
• Test, evaluate, and roll out new features and updates while ensuring alignment with business needs.  

Documentation & Compliance 

• Maintain up-to-date documentation on configurations, policies, and operational procedures for digital workplace tools.  
• Ensure adherence to GDPR and organizational data security standards in all collaboration platform operations.  

 Stakeholder & Provider Management 

• Coordinate with internal IT teams and business stakeholders to ensure smooth service operations and timely issue resolution.  
• Manage relationships with external service providers, ensuring service quality and alignment with organizational expectations. 

Requirements: 

• Bachelor’s degree in Information Technology, Computer Science, or a related field.  
• Data privacy or analytics certifications are a plus.  
• Experience in project management; relevant certifications (e.g., ITIL, PMP) are a plus.   
• Minimum 3+ years of experience managing or supporting survey tools and employee engagement platforms.  
• Minimum 3+ years of experience developing surveys for large-scale initiatives (e.g., engagement surveys, event feedback).  
• Familiarity with regulatory requirements for data collection and reporting.  
• Demonstrated ability to guide and support users and stakeholders, fostering strong user adoption and efficient tool use 
• Fluent in English, another language helpful 
• Exposure to international work content in previous roles.
