We would like to welcome an Assistant to Manager in our Baneasa Shopping City team.

Responsibilities:

• Providing administrative and operational support to the Commercial Director and Commercial team.
• Document management and monitoring the process of obtaining internal approvals and signatures
• Management of internal and external correspondence (phone calls, emails, written requests), including filtering and directing them to the responsible persons.
• Physical and electronic archiving of documents, in accordance with internal policies
• Organization and coordination of meetings, appointments and follow-up activities, including preparing agendas and logistical details, where applicable.
• Ensuring good communication and an efficient information flow between management, the commercial department and other departments of the company.
• Drafting and sending official notifications to tenants
• Administration of the platform dedicated to tenants, providing updated documents
• Receiving, archiving and keeping records of bank guarantees and promissory notes, including monitoring expiration dates.
• Preparing, verifying and following up on statements (expenses, travel, other administrative statements), in collaboration with the finance department
• Preparation of periodic reports, records and centralizing situations necessary for management activities.

Requirements:

• University degree
• At least three years experience in a similar position, preferably in a large organization 
• Excellent communication, interpersonal and time management skills
• High attention to details
• Efficient, with initiative and very diplomatic
• Excellent Romanian and English; computer literate (Excel; Power Point)
• A natural solution-provider, managing his/her workload in an efficient and structured manner
