We’re hiring: Retreat Coordinator at UpTrek

UpTrek is looking for a dynamic and organized Retreat Coordinator to join our team. Based in our Cotroceni office, this full-time role is perfect for someone with a passion for hospitality and travel, strong digital proficiency, and excellent English skills.

At UpTrek, we create unforgettable retreats in some of the most beautiful destinations around the world. This role is at the heart of making those experiences seamless, thoughtful, and exceptional.

What you’ll do:

Communicate with guests and instructors to understand their needs and preferences, tailoring each retreat experience accordingly
Coordinate closely with venue partners, instructors, and guests to ensure a seamless, end-to-end experience
Manage bookings, room assignments, and special requests with accuracy and care
Proactively anticipate potential issues and resolve them efficiently when they arise
Oversee all logistics, including accommodations, transfers, schedules, and guest experience details
Ensure all retreat activities and programs run smoothly while delivering exceptional customer service
Support guests throughout their entire journey: before, during, and after the retreat
Create and manage retreat budgets, maintaining cost efficiency without compromising quality

Skills & requirements:

Proficient in written and spoken English
Patient and efficient communicator, comfortable with in-person or web-based calls
Strong attention to detail and problem-solving abilities
Quick learner or already experienced with HubSpot or similar CRMs
Understanding of budgeting, spreadsheets, and reporting tools

Work hours:

Standard schedule: Monday to Friday, 9:00 am – 6:00 pm (1-hour lunch break)
This is an office-based role in Cotroceni, Bucharest (no remote/work-from-home option)

Financials:

Salary range: 6,000–7,000 LEI net
Performance reviews every 6–9 months
Annual salary increase for inflation adjustment (if a raise is not awarded)
