We are currently looking for qualified and experienced candidates to join us in the exciting role of Financial Liaison Officer.

Job Purpose:
To issue invoices and to chase and recover overdue payments under the direction of the School Director. Offers parent support and helps them with information about their contracts and financial status.

Responsibilities:

  • Provide information to parents about their contracts and financial status;
  • Handling parents’ questions or complaints regarding financial matters;
  • Make sure that all tuition fees, catering, transport, books and uniform fees are paid on time by sending e-mails and calling;
  • Respect the follow-up procedure of payments with parents;
  • Keep tracking outstanding payments, via phone and email;
  • Sending payment notices;
  • Negotiating payoff deadlines and payment plans;
  • Plan course of action to recover the debts;
  • Working on a daily-basis with Next-Up; creating new partner, maintain the client database, liaise with the development team for any update related with contracts and invoices, introducing contracts, issuing invoices;
  • Upload daily the issued invoices in SPV and download the electronic proof of transmission in E-factura system;
  • Liaise with accounting company on receivable allocation;
  • Customer balance reconciliation taking into account the possible situation of refund amounts and the payment transactions among school companies;
  • Handle petty-cash transactions and collect via cash or POS payments;
  • Identifying gaps in the contracts and recommend solutions;
  • Updating the receivables list on a weekly-basis with the action taken;
  • Liaise with the Legal Team for all court cases related with debt recovery;
  • Ensure that the school operates in a consistently organized manner every day;
  • Act as liaison between parents and the school (e.g. financial department, head of schools, etc.);
  • Communicate effectively with all persons (parents, officials, visitors, staff)
  • Perform general office duties such as answering telephone inquiries, filing, mail, spreadsheets, and journal entries on a daily basis;
  • Adhere to rigorous student/parent and staff confidentiality protocols in all circumstances;
  • Complete forms in accordance with school procedures;
  • Locate and attach appropriate files to incoming correspondence requiring replies;
  • Open, read, route, and distribute incoming mail and other material, and prepare answers to routine letters;
  • Offer full support in any unexpected situation the school faces;
  • Set up and maintain paper and electronic filing systems for records, correspondence, and other material;
  • Help in organizing and take part in school events, trainings, outings and activities which may take place at weekends or in the evening;
  • Create and maintain a clean, attractive, orderly, safe and efficient office environment;
  • To comply with the Code of Ethics as well as to all policies and procedures of the school
