We are seeking an Executive Assistant who combines strong organizational and administrative capabilities with practical skills in commercial operations, basic legal support, and office management. The ideal candidate is detail-oriented, resourceful, and comfortable working with senior management, multiple stakeholders, and confidential information.


Key Responsibilities

Executive Support

  • Provide comprehensive day-to-day support to senior management: calendar management, scheduling, meeting coordination, travel arrangements, and preparation of meeting materials.
  • Draft, format, and proofread internal and external communications, presentations, and reports.
  • Maintain confidentiality and manage sensitive information with discretion.
  • Prepare briefing notes and follow-up action trackers for internal and external meetings.
  • Support in organization of events according to management instructions

Office & Administrative Operations

  • Oversee office supply management, equipment inventory, and general office functionality.
  • Act as point of contact for IT service providers to ensure timely resolution of technical issues.
  • Draft and update administrative procedures and process documents.
  • Support basic accounting tasks (cash register, expense reconciliations, supplier invoices routing).
  • Ensure efficient document management systems (digital and physical).
  • Manage company cars, travel bookings, courier services, and internal logistics.

HR Administration (Support Role)

  • Assist with personnel file management and employment documentation (contracts, addenda, decisions).
  • Coordinate onboarding logistics, access rights, equipment, and introduction schedules.
  • Support communications with employees regarding policies, procedures, and administrative matters.
  • Provide input for payroll preparation (attendance, leave records, bonuses).

Commercial & Legal Support

  • Assist with reviewing, drafting, and preparing commercial contracts, service agreements, NDAs, supplier agreements, and contract addenda under management supervision.
  • Ensure contracts follow internal standards and maintain compliance with company policies.
  • Maintain and update a structured contract repository and renewal calendar.
  • Liaise with suppliers, partners, and stakeholders on contractual clarifications and documentation.
  • Conduct basic due diligence on vendors (registrations, certificates, preliminary compliance checks).
  • Support procurement activities: supplier identification, contract negotiation preparation, and administrative support for tender processes.

Qualifications, Skills & Experience

  • Minimum 3 years’ experience as Executive Assistant, Office Manager, Legal Assistant, or similar roles.
  • Experience handling contracts or commercial documentation is a strong advantage.
  • Good understanding of basic legal concepts related to contracts and commercial agreements.
  • Solid HR administration experience is beneficial.
  • Excellent command of MS Office (Word, Excel, PowerPoint) and digital work platforms.
  • Strong written and verbal communication abilities, including drafting and structuring documents professionally.
  • High level of discretion, integrity, and reliability.
  • Proven organizational skills and ability to prioritize multiple tasks.
  • Analytical thinking, attention to detail, and a structured approach to work.
  • Ability to maintain calm and professionalism in a fast-paced environment.
