The role is a blend of EA/PA, Administrative and Project support and requires first-rate organizational skills, enthusiasm, an ability to liaise with business colleagues and clients at all levels working with complete discretion as a trusted work partner to the team.
We are looking for someone who does not need handholding and prides themselves on being able to easily navigate new and unfamiliar terrain. This is an expanding Law Firm that requires thinking on your feet, and being extremely detailed oriented.
Your Day to Day:
Provide high level, tailored administrative support to a Sr. Lawyer within the practice of Business
Extensive diary management, produce daily and weekly diary schedules with associated supporting
Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner.
Independently perform support functions including coordination of complex internal and external
executive meetings/calls, preparing correspondence, hosting visitors, routing information requests,
booking travel and organizing team meetings.
Create and edit presentations, forms, documents and spreadsheets with precision and attention to detail
Assist in tracking expense and purchase order workflow and ensure that they are prepared and submitted
on a timely basis. Ensure completion and authorization of all supporting documentation
Communicate frequently and successfully with high-level executives and partner teams across the Law
Firm on various matters with speed and efficiency. Maintain connectivity with project teams.
Collate and prepare financial sales and revenue reports for management/client meetings.
Attend internal meetings where required: minute taking and tracking of actions.
Establish & maintain strong relationships with stakeholders and their PAs to ensure positive interactions
at all times.
Maintain customer confidence and protects operations by keeping information confidential.
Proficient in Outlook, PowerPoint, Word and Excel and comfortable using online tools
Ability to work quickly and accurately and remain calm under pressure
Be proactive and able to take the initiative
Able to take ownership of tasks and projects seeing them through to completion
Organizational and multi-tasking skills – ability to prioritize
Be resilient, highly organized and able to cope in fast-paced environment, being both flexible and able to
work across a range of issues
Excellent interpersonal skills
Experience as a PA – 3 to 5 years.
